CASE STUDYCUSTOM LIMS
Wave Analytical Labs LLP

From rented software and paper registers to a lab system they own

Wave Analytical Labs was running its testing operation on a SaaS product that would not adapt, backed by handwritten books for everything it could not handle. We built them a custom Laboratory Information Management System covering samples, tests, COAs, customers, invoices and a complete audit trail.

01 - THE CHALLENGE

Software they rented, and records they could not fully trust

The lab kept using its SaaS LIMS because no other subscription product met its requirement. The vendor would not customise or resolve the issues the team raised, so critical work moved back to paper books. Sample registers, results corrections and billing lived in different places, and the lab had little control over any of it.

They came to us for a system built around how they actually test, review and release.

How the work gets done
Sample intake

Registered once at the counter; sample ID, AR number and label generated

Specifications

Product master with the lab's own specs, parent and child tests

COAs

Generated from approved results and e-signed in one flow

Corrections

Every edit logged with user, time and a mandatory reason

Invoicing

Invoices raised against released samples at customer rates

Support

Custom-built and extended on the lab's own roadmap

02 - PRODUCT TOUR

Redesigned screen by screen, around the lab's day

The product tour brings sample intake, test assignment, COAs, invoicing and audit activity into one focused LIMS workspace.

The old register was a dense spreadsheet of wrapping text and repeated buttons. The new one leads with sample ID and product, shows batch and quantity as second read, and replaces free-text status with filterable states.

03 — SAMPLE LIFECYCLE

One record, from the inward counter to the invoice

WHAT HAPPENS

Analysts enter results against specification limits. Out-of-specification values are flagged the moment they are entered, and instrument and column details are captured with each result.

OWNER

Analyst

RECORD CREATED

Raw data & results

04 — MODULES

Everything the lab runs on, in one system

SM

Sample management

Registration, labels, storage details and live status for every sample from intake to release.

CU

Customer management

Customer profiles, contacts, test rate cards and a full history of samples, COAs and invoices.

PM

Product master

Products with their pharmacopoeia references, specifications, and parent and child tests.

TM

Test & method master

Standard test procedures, methods and limits reused across products and customers.

CA

COA generation

Certificates built from approved results with a consistent layout and electronic sign-off.

IN

Invoices & finance

Invoices against released samples, GST-ready totals, payments and outstanding balances.

AU

Audit management

Tamper-evident trail of every create, edit, approval and deletion, with reasons.

LR

Log reports

Exportable logs by date, user, module or sample for internal reviews and inspections.

RA

Roles & permissions

Access by role, from sample cell to QA head, so each user sees only what they act on.

ES

Electronic signatures

Password-verified sign-off on results and COAs, recorded against the user and time.

TA

Due-date alerts

Turnaround tracking that flags samples approaching their due date before they are late.

DB

Management dashboard

Daily intake, work in progress, pending reviews and unbilled releases on one screen.

05 — THE OUTCOME

The books are closed. The lab runs on its own system.

Paper registers retired

Sample intake, results, COAs and billing are recorded once, in one place, and searchable from any desk.

Audit-ready by default

Every change carries a user, a timestamp and a reason, and COAs are released only through the approval chain.

Owned, not rented

No subscription lock-in. New tests, reports and workflows are added on the lab's schedule, not a vendor's.
